Accounting Software
Hotel accounting software does much more than just keep the financial
books, it helps manage the hotel. This management software must manage
rooms, reservations, discounts, etc.
In fact a good software program
should be able to do the following:
- Designate room pricing based on different
criteria
- Invoicing and payments
- Allow credit card payments
- Manage reservations
- Provide sales reports
- Manage employee scheduling and payroll
Room
pricing varies depending on which discount a guest uses, how many
guests in a room, whether a pet is allowed, etc. The hotel software
must be able to compute and invoice these changes to room pricing
quickly and accurately, while also calculating the correct amount of
tax to charge.
Invoicing should be easy based on the information
input into the software at check-in. Any changes such as length of stay
or misc room charges should be allowed. Of course, credit card payments
need to be approved and accepted.
Reservation management is
another big part of the software system. Ease of use and quick access
are key. Potential guests need to be quickly and accurately logged into
the system and room rates determined.
The hotel software should
also manage the employees by scheduling and recording time worked. Some
software allows the employee time clock to provide time worked
information to the payroll module. The software should print employee
schedules and maintain all employee records that are required.
Many
reports should be available to management to help assess the business,
including room sales, vacancy reports, etc. Good software will allow
management to customize some of the reports to increase the usefulness
of the reporting.
